This role is based in the United States and as such all normal working days must be carried out in the United States.

Purpose of Role

The Facilities Coordinator will:

  • Support all NatWest Markets facilities activities. The Coordinator will be the first point of contact for internal and external customers seeking support and information from NatWest Property Services.
  • Provide administrative support to the local office Property Services organization, manage office functions including work order coordination, daily office operations, maintaining office records, providing general support services for the office staff, and oversight of 3rd party vendor workflow.
  • Under the supervision of VP of Property Services, manage all outside contractors in support of the Property Services Department, including maintaining records and contracts, coordinating workflow and scheduling of 3rd party support services.

Responsibilities

Service Delivery

  • Manage the site in accordance with all agreed policies, procedures and contract scope.
  • Interpret and uphold all lease obligations from tenant and landlord.
  • Manage landlord services (engineering maintenance, amenities etc.) to ensure in compliance with obligations, management satisfaction and minimal cost. Escalating issues as necessary.
  • Identify opportunities for improved operation to drive efficiencies (process and cost) and make recommendations to management for consideration.
  • Ensure compliance with all health and safety, environment and risk management policies and procedures that relate to the site.
  • Manage repairs and maintenance, minor works and other requests, tracking to completion.
  • Support small building moves, adds, and changes by attending site as required and acting as the building key point of contact/escalation.
  • Manage vendor performance ensuring services are delivered in accordance with the contract and to agreed standards. Document and escalate instances of poor performance.
  • Coordinate internally with other teams which may include A/V, IT, print services, security and capital projects.
  • Lead projects for small scale construction activities.
  • Implement a change management process and follow when work is performed (by landlord or vendors) to manage and minimize risk

Finance Management / Cost Control / Profitability

  • Deliver management reports as requested.
  • Achieve or exceed financial targets and ensure effective, efficient and economic operation of assigned responsibilities.
  • Ensure that operational expenditure for the site is managed within agreed budgets and identify efficiencies where possible.
  • Manage the budgeting, accrual and forecasting processes for the site
  • Manage payments to vendors where applicable, using available systems, complying with all relevant policies and procedures.
  • Help to develop and approve the annual capital plan for the site, interfacing closely with VP of Property Services.
  • Ensure compliance within delegated financial and contractual authorities.

What are the skills, knowledge and experience needed to do the role?

  • Bachelor's degree or equivalent facilities or property management experience.
  • 5+ years of facilities management or operations experience. 
  • Knowledge of building systems, HVAC, electrical, mechanical and services, required.
  • Superior client relationship management skills.
  • Strong supervisory and people management skills.
  • Ability to plan and manage financials within budget and time constraints.
  • Experience with managing multiple vendors and small capital projects.
  • Computer proficiency with MS Office and Computerized Maintenance Management System (CMMS).
